ASO and literacy: tailor-made tools

The ASO literacy module

ASO has always been a tool with incredible potential for adaptation, and our first literacy project using our platform was a good example of this. Indeed, until we had our first customer with literacy operations in his resource, ASO had never been adapted for this type of service. Following our implementation practices, we took advantage of our client's expertise to get a detailed introduction to literacy operations, associated work methods and precise needs. We then worked in collaboration with our client to produce a module molded to the needs of a literacy resource that co-exists with the other main ASO modules.

Main features

In order to manage the operational elements of literacy, several nested sections have been created.

- Literacy participants: essentially the client's file, this file allows you to consult and update the contact details of each participant, while providing access to the person's complete history - registrations, documents, follow-up of objectives/intervention plan, notes in file, attendance. In addition, the file also contains a calendar where the history can be consulted in calendar format.

- Activities: this is where the service offering for each session is managed. For each activity, a form is created to record general information: title, subject, facilitator, schedule, location. It also lists each activity session or workshop, as well as all registered participants.

  • List of sessions/workshops: this list helps facilitators with day-to-day management. It specifies the date of each activity. For each session/workshop, you can note whether there was a replacement, whether activities were canceled, add general notes, and, most importantly, see the number of attendees. The interactive attendance list is available via this list. An attendance list is created from the list of participants registered for each session/workshop, allowing the facilitator to easily indicate who was present and who was absent. Attendance is then recorded in the activity and also in each participant's file.
  • List of registered participants: in addition to allowing you to manage registrations directly in the activity, the list provides quick access to the phone number listed in the file, the participation period, and the participation rate calculated based on attendance.
  • Assessment: For each type of subject/topic, it is possible to create an assessment grid that can be used by facilitators to assess registered participants using an interactive whiteboard, where each participant's assessment can be completed on a single screen.
  • Development potential: ASO also has a room reservation module, so it would be easy to include the various dates of the sessions/workshops directly in this module to easily manage room reservations if needed.

 

- Entries: each time a participant submits an entry for activities, it is possible to indicate all the activities of interest in the entry. If further information is required for each entry, such as the reference source, this is also possible.

  • Development potential: ASO offers the possibility of having a portal for participants. It would be conceivable for the activities on offer to be published on this portal, allowing participants to register themselves directly on the portal, with registrations appearing in ASO. The portal also allows participants to keep their files up to date (contact details, statistical profile, etc.).

 

- Waiting list: each activity in the registrations where the associated participant is not already registered in the activity in question appears in the waiting list. This allows you to have an overview of the activities for which quotas have been set, so that you can add other activities or plan the next activity offering. As soon as a participant is registered for an activity, his or her name is automatically removed from the waiting list.

- Reports: as with any ASO section or module, detailed statistical reports can be extracted from the data.

Other literacy module applications

We've learned through our literacy project that the activities aren't always about literacy directly, but sometimes they're about different adult education offerings. The module is very flexible and allows for all types of subject matter to be included, as long as the operation of these programs is similar to literacy activities.
